Your everyday activity will include:
o Manage all kind of administrative activities and tasks related to RA department documents with efficient filing system
o Administration and organization of transport of documents and signatures in/inter departments and campuses
o Coordinate internal/external contracts. Follow all contracts set up by the legal department (validation, signature of all parties concerned and filing)
o Liaising with suppliers, manage purchases from quotation till receiving and approvals
o Agenda and team planning; proper management of complex agenda for the team (date searching, invitations, replies, etc), preparations, sendings, follow ups
o Full organization of events, conferences, department meetings, team building activities, trainings and preparing meetings in/out of campus. Handle management and logistics for seminar, internal and external meetings or conferences in close colloboration with internal teams (Communication & Purchasing) and external sources (providers)
o Take active role during the preparation and the presentation of global events. Maintain an updated contact list for global RA community events organizations and invitations
o Prepare team meetings and other meetings (room set up, equipment)
o RA meeting room maintenance and booking management. Reception of guests
o Department facilities management and organization, including kitchen, restroom supply management, etc.
o Travel Support: Responsible for all travel organization (external and internal events). Assist with routine travel management for the team. Liaising with contracted travel agencies for flights, hotels, and transportation companies (e.g taxi). External visit coordination. Organise travel management for external parties. Manage visa applications for team members
o Prepare communication materials for all seminars, meetings and trainings
o Coordinating the operational tasks of the RA department, e.g. supervising cleaning and maintenance, ordering cleaning services, reporting and following up work orders for facilities maintenance
o Preparation and coordination of receiving newcomer employess of the department. Reporting IT and technical problems
o Support on inventory management of materials and equipment, administrative coordination, and scrapping
o invoice management in line with internal policies Organise regular social activities for the members
o Act as a key user in internal systems on behalf of RA department Give support to Global RA Director, where relevant

o Education: Higher education Bsc or equivalent
o Advanced level of English and Hungarian. Also written and spoken French language would be an advantage

o At least 1-3 years of experience in assistant or similar role
